Privacy Policy
Last updated October 29, 2026. This policy explains what information HOA Manage (operated by MinneLabWorks) collects when associations, board members, managers, owners, residents and vendors use hoamanage.org, and how we handle it.
Draft for review: this policy should be reviewed by a qualified attorney before it is relied on.
Who this applies to
Associations and management companies that subscribe to HOA Manage are our customers. They decide whose information is added to their workspace and act as the controller of that data. We process it on their behalf to provide the service.
Information we collect
- Account information: name, email address, phone number, role and the association you belong to.
- Property and ledger information: unit addresses, ownership records, assessments, payments, balances, fines and payment plans.
- Association records: documents, meeting notes, recordings and transcripts, ballots, votes, signatures, violations, work orders, architectural requests and messages.
- Payment information: card and bank payments are handled by Stripe. We receive limited details such as payment status and the last four digits; we never store full card or bank account numbers.
- Usage information: pages visited, device and browser type, and error logs used to keep the service working.
- Marketing contacts: details you submit through our demo, starter kit or contact forms.
How we use information
- To run the service: collecting dues, keeping ledgers, sending notices, hosting meetings and storing records.
- To send account, billing, security and association messages you or your board request.
- To provide AI features. AI answers draw only on your association's own records; we do not use your association's data to train public AI models.
- To secure the service, prevent fraud and comply with legal obligations.
- To send product updates or marketing email, which you can unsubscribe from at any time.
How information is shared
We do not sell personal information. We share information only with service providers that help us run HOA Manage (hosting, payment processing, email and text delivery, and AI processing), with your association as its settings direct, when required by law, or as part of a business transfer with notice to customers.
Visibility inside an association
Boards and managers control what owners and residents can see. Owner directory listings are opt-in. Board-only documents and individual owner balances are not shown to other residents.
Retention
We keep association records for as long as the association's subscription is active and as required by law. Older media may be archived after 12 months. When an association closes its account it can export its data; we then delete it within a reasonable period unless we must keep it by law.
Your choices and rights
You can update your profile at any time. Requests to access, correct or delete personal information should usually go to your association's board or manager first; you can also contact us and we will work with your association. Depending on where you live, you may have additional rights under state privacy laws.
Text messages
If your association sends text alerts, reply STOP to any message to opt out and START to opt back in. Message and data rates may apply.
Children
HOA Manage is not directed to children under 13 and we do not knowingly collect their information.
