Terms of Service
Last updated October 29, 2026. These terms are an agreement between you and MinneLabWorks, which operates HOA Manage. By creating an account or using the service, you agree to them.
Draft for review: these terms should be reviewed by a qualified attorney before they are relied on.
The service
HOA Manage provides online tools for community associations, including dues and payments, accounting, communications, documents, meetings, voting, e-signatures, violations, work orders and AI assistance. We may improve or change features over time.
Accounts and roles
The person who signs up for an association confirms they are authorized to act for it. Associations are responsible for who they invite, the roles they assign and keeping login details secure.
Plans, trials and billing
- Subscriptions are billed per community as a base fee plus a per-unit fee, as shown on the pricing page at the time of purchase.
- Free trials last 30 days. You will not be charged unless you choose a paid plan.
- Fees renew monthly or yearly until cancelled. Cancelling stops future renewals; fees already paid are not refunded except where required by law.
- Owner payment processing fees, add-ons, mailed letters and AI credit packs are charged as listed when you use them.
Payments to associations
Owner payments are processed by Stripe and paid out to the association's connected account. HOA Manage is not a bank, does not hold association funds, and is not a party to disputes between associations and owners over assessments.
Not legal, financial or accounting advice
Templates, rule libraries, election compliance checklists, AI drafts and law summaries are provided for convenience. Associations remain responsible for following their governing documents and applicable law, and should consult an attorney or accountant where needed. AI-generated drafts must be reviewed by a person before use.
Your data
Your association owns its data. You grant us permission to host and process it only to provide and secure the service. You can export your records at any time while your account is active. Our Privacy Policy describes how we handle personal information.
Acceptable use
- Do not use the service for unlawful harassment, discrimination or retaliation against owners or residents.
- Do not upload content you have no right to share, or attempt to access another association's data.
- Do not interfere with the service, probe it for weaknesses without permission, or resell it without our agreement.
Availability and liability
We work to keep HOA Manage available and secure but cannot promise uninterrupted service. To the extent the law allows, the service is provided as is, and our total liability for any claim is limited to the fees your association paid us in the 12 months before the claim.
Ending use
You may cancel at any time. We may suspend accounts that break these terms or fail to pay, with notice where practical.
Governing law and contact
These terms are governed by the laws of the State of Minnesota. Questions: hello@hoamanage.org or 612-424-5513.
